1. Our commitment

We comply with the 13 Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth) and the APP guidelines when we handle your personal information. This policy explains what we collect, why, how we use and protect it, and how you can access or correct it.

2. What we collect

When you send us an enquiry or an employer booking request: your name, email, phone number and message. For employer requests, also your organisation, the course, number of staff, preferred class date and any purchase order (PO) number.

When you book a course on our website:

  • Your name, date of birth, mobile, email and residential address
  • Your chosen course and class date, and how you heard about us (optional)
  • How you will pay: bank transfer, or an invoice to your employer (then also the organisation’s name, ABN, accounts contact, accounts email and any PO number)
  • For nationally accredited courses (such as 11067NAT): your Unique Student Identifier (USI), which we are required to collect before we can issue your statement of attainment
  • Your agreement to our Fees and Refunds Policy, Student Handbook and this policy

When you complete the pre-enrolment assessment (required for all students): your answers about your education, career goals, learning preferences and computer skills, your reading, writing and maths exercises, your typed signature and declaration, and whether you have any special needs that may make it difficult to complete the course. Information about a disability, impairment or long-term condition is sensitive information: we collect it only with your consent, and use it only to offer appropriate support.

When you enrol (through our student management system): any further details we must collect as a Registered Training Organisation, such as your title, gender, place of birth, and evidence of your identity and age.

When you pay: course fees are paid by bank transfer (EFT) only. We record the amount and date of your payment against your enrolment. We do not take card payments.

When you visit our website: we use Google Analytics to understand how visitors use the site, for example pages viewed, approximate location, device type and how you found us. This uses cookies and does not identify you by name. You can block cookies in your browser settings. Our forms use Cloudflare Turnstile to block spam and automated abuse; it checks technical signals from your browser and device and is not used to identify you or for advertising.

3. Why we collect it

  • To answer your enquiries
  • To process your enrolment, confirm your place and issue invoices and receipts
  • To deliver training and assessment, and to issue your qualification or statement of attainment
  • To meet our obligations as a Registered Training Organisation. For nationally accredited courses (such as 11067NAT), this includes reporting training activity data to the National Centre for Vocational Education Research (NCVER) under the AVETMISS standard, and meeting the requirements of the Australian Skills Quality Authority (ASQA)
  • To support you if you tell us you have a disability or need assistance
  • To improve our website and services

We will not use your information for any other purpose unless you consent or the law allows it.

4. Who we share it with

We only share personal information where necessary:

  • Government and regulatory bodies where required by law. For nationally accredited courses (such as 11067NAT), this includes:
    • NCVER: student and training data is reported under the AVETMISS standard and may be used for research, statistics and to verify your USI. See NCVER’s privacy notice at www.ncver.edu.au.
    • ASQA: the national VET regulator, for example during audits
    • The USI Registrar, to verify or create your USI
  • Service providers who help us run our business, under their own privacy obligations:
    • Cloudflare: website hosting, spam protection, and the secure system we use to manage bookings, invoices, class lists and pre-enrolment assessments
    • Google Workspace: email (including the emails, invoices and reminders we send you)
    • Google Analytics: website analytics
    • Our student management system (enrolment and student records)

We do not sell your information. We do not use it for direct marketing unless you agree, and you can opt out at any time.

5. Overseas disclosure

Some of our service providers store or process information outside Australia:

  • Cloudflare hosts our website and our bookings system on its global network. Information you submit through our website forms (bookings, enquiries and pre-enrolment assessments) may be stored or processed outside Australia, including in the United States.
  • Google may process information in the United States and other countries.

We take reasonable steps to ensure these providers protect your information consistently with the APPs.

6. Government identifiers

Government-related identifiers (such as your USI, Medicare number or tax file number) are used only for the purposes they were issued for. We do not adopt them as our own identifiers except as permitted by law.

7. How we protect your information

We take reasonable steps to protect your information from misuse, interference, loss and unauthorised access, modification or disclosure, including:

  • An encrypted (HTTPS) website, and spam and abuse protection on all forms
  • Our bookings system is accessible only to authorised staff, who sign in with a one-time code sent to their work email, and every access to assessment answers is logged
  • We do not ask you to upload identity documents through our website forms
  • Enrolment records and pre-enrolment assessments are accessible only to authorised staff

8. How long we keep it

We keep:

  • Completed assessment items for 2 years after your result is recorded
  • Records of qualifications and statements of attainment issued for 30 years, as required for RTOs
  • Other enrolment and enquiry records only as long as needed for the purposes above or as required by law

When information is no longer needed, we securely destroy or de-identify it.

9. Anonymity

You can make general enquiries without identifying yourself, for example by phone. However, we cannot enrol you in a course or issue a qualification without identifying you.

10. Accessing and correcting your information

You can ask to see the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete or misleading. Contact us using the details above. We will respond within a reasonable time, usually 30 days. In limited circumstances allowed by law we may refuse access, and we will tell you why.

11. Unsolicited information

If we receive personal information we did not ask for and do not need, we will destroy or de-identify it where lawful and reasonable.

12. Complaints

If you have a concern about how we have handled your personal information, please contact us first at info@cvepoolsafety.edu.au or 07 3180 3148. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC): www.oaic.gov.au · 1300 363 992.
